FAQ / Automating Phone and Email Orders

How Distributors Automate Phone and Email Orders

How AI handles phone calls, emails, faxes, texts, and PDFs for wholesale distributors — without changing how your customers order or routing orders through a new platform.

Why phone and email orders have been hard to automate

Why have phone and email orders been so difficult to automate?

Because every order is slightly different. A customer calls and says “the usual plus two extra cases of the red.” An email arrives listing product descriptions that don’t exactly match catalog names. A fax comes in with handwriting. A text message uses abbreviations the system has never seen. Standard automation tools require perfectly structured, predictable input — and wholesale orders are rarely that. The variation is the problem, and it is why the order desk has always required a human.

What does a distributor’s order desk actually do all day?

More than most people realize. Reading and interpreting incoming orders from multiple channels. Matching informal product descriptions to the correct SKU in the catalog. Applying account-specific pricing and terms. Checking stock and flagging issues. Entering completed orders into the ERP. Calling customers back when something is unclear or unavailable. Following up on exceptions. The data entry is only part of the job — the interpretation and judgment that happens before the entry is what makes it genuinely difficult to replace.

How much of order desk work is genuinely routine versus genuinely complex?

For most distributors, the split is roughly 80 to 20. Around 80 percent of order volume is routine — reorders from established accounts, standard quantities, products the customer has ordered many times before. Around 20 percent involves real complexity: new products, unusual quantities, substitutions, ambiguous descriptions, account-specific exceptions. The opportunity in automating the routine 80 percent is significant. It frees the order desk to focus entirely on the 20 percent that actually requires human judgment.

How AI order automation works

What does AI order automation actually do for a wholesale distributor?

It replaces the order desk rep for routine order processing. When a customer calls, the AI answers, conducts a natural phone conversation, takes the order, confirms it, and enters it into the ERP — exactly the way a person would. When an email arrives with an order, the AI reads it, resolves product descriptions against the catalog, applies the account’s pricing, and creates the sales order. The AI handles interpretation, matching, and entry. The human order desk handles exceptions, relationships, and anything the AI flags as requiring judgment.

Does the AI answer inbound phone calls and take orders in real time?

Yes. Ordana Voice answers every inbound call immediately — no hold times, no voicemail, 24 hours a day. It conducts a natural conversation, asks clarifying questions when needed, confirms availability, and enters the completed order in the ERP before the call ends. From the customer’s perspective it is a faster, more consistent version of calling the order desk. They still call the same number. They still speak to someone (the AI) who knows their account. Nothing about their side of the interaction changes.

Can AI read and process email orders without human involvement?

Yes, including emails that are informal, inconsistent, or structured differently by each customer. Ordana Desk reads incoming order emails, interprets what the customer is ordering — even when product descriptions are approximate or abbreviated — matches items to the correct catalog SKUs, applies account pricing, and creates the sales order in the ERP. The customer receives a confirmation. For the large majority of emails this happens with no human in the loop.

What about PDF purchase orders, faxes, and text messages?

All covered. PDF purchase orders are read and processed the same way as emails — Ordana extracts the line items, matches them to the catalog, and creates the order. Text messages are handled by Ordana Chat, which processes orders sent by SMS or messaging apps in the same conversational format customers already use. Faxes, where they still exist, are processed as document inputs. The channel does not matter — the order ends up in the ERP regardless of how it arrived.

What happens to orders the AI is not confident about?

They are flagged for human review rather than processed with a guess. When an order contains ambiguous product descriptions, unusual quantities, or situations the AI cannot resolve with confidence, it routes the order to the order desk with full context — what the customer said or wrote, what the AI understood, and what specifically needs human attention. The human resolves it and the order continues. Nothing is dropped or silently misprocessed.

What changes — and what doesn’t

Do my customers need to change how they order?

No. This is the most important practical point about AI order automation. Your customers call the same number, send emails to the same address, and text the same contact — exactly as they always have. They do not download an app, create an account on a new platform, or learn a new system. The entire change is on your side. Ordana handles the interaction on your behalf and enters the order into your ERP. Your customers experience a faster, more consistent service without knowing anything changed.

Where do processed orders go?

Directly into your ERP as native sales orders — the same way a member of your order desk would enter them manually. Your ERP remains the system of record. Customer data, pricing tiers, order history, inventory, and account relationships all stay in your system. Nothing routes through a third-party platform before reaching your ERP. The order goes in, your fulfillment process runs as normal.

Does AI order automation replace my ERP or ordering system?

No. It connects to your existing ERP and writes orders into it. Ordana integrates with the major distribution ERPs — NetSuite, SAP Business One, Microsoft Dynamics, Epicor, Prophet 21, Acumatica, and others — via direct API. Your ERP stays exactly as it is. Ordana is the layer that handles the inbound communication and order interpretation. Your ERP handles everything downstream.

Getting started

How long does it take to get up and running?

Most distributors are live within four to eight weeks. The majority of that time is ERP integration — connecting to your catalog, customer records, and pricing. The AI training on your specific product catalog and order patterns happens during this period. Voice, email, and text channels can typically go live in sequence, with the highest-volume channel first. Distributors with well-documented ERPs and standard order mixes are at the faster end of that range.

What percentage of orders can realistically be automated?

For most distributors, 80 to 90 percent of order volume can be processed without manual intervention. The remainder — orders that require human judgment, genuinely unusual situations, or information the AI cannot resolve — are flagged for the order desk. The exact percentage depends on the mix of order types, the consistency of your product catalog, and the complexity of your account base. Distributors with a high proportion of repeat orders from established accounts tend to see automation rates at the higher end.

What do I need in place before automating phone and email orders?

A documented ERP with an API or EDI interface, a reasonably clean product catalog (duplicates and outdated SKUs make matching harder), and clarity on which channels handle the most volume. You do not need to change your phone system, your email setup, or how your customers contact you. The integration work happens on the back end. If your catalog has known data quality issues, a brief audit before implementation will meaningfully improve results from day one.
