What is automated order entry?

Automated order entry is the process of receiving a customer’s order — regardless of format or channel — and entering it into an ERP or order management system without requiring a human to manually type each line. For wholesale distributors, this means an order that arrives by phone call, email, text message, or chat is processed directly into the system with the correct products, quantities, pricing, and customer information already populated.

The key distinction between basic automation and genuine AI-powered order entry is the ability to handle unstructured input. A customer calling in and asking for “three cases of the usual, plus two of the new seasonal” requires understanding context, purchase history, and product catalog — not just filling in a form. That kind of interpretation is what separates AI order entry from simpler forms of automation.

When an order is processed by AI, the system validates what the customer ordered against the product catalog and customer account before entering it. If a customer requests a product that does not exist, asks for a quantity below the minimum, or orders something that is currently unavailable, the system flags it rather than entering incorrect information. The order that lands in the ERP has already been validated against the rules that define a correct order.

For ambiguous orders — a product described by a brand name, a shorthand the customer uses, or an item that could match multiple SKUs — Ordana either resolves the ambiguity using context from the customer’s order history or flags the specific item for human confirmation. When a customer orders a product that is temporarily out of stock, a simple system either errors out or places the order anyway. A more capable system can apply the distributor’s substitution rules, suggest an alternative the customer has previously accepted, or flag the item for a human to address before the order is confirmed.

Customers who need to order at 7 PM, on a weekend, or during a holiday either wait, leave a voicemail that gets processed the next business day, or place the order with a competitor who offers another channel.

AI-powered order processing operates continuously. A customer who calls at 9 PM gets their order taken and entered into the ERP exactly as they would during the day — with the only difference being that there is no human on the other end of the call. The order is in the system and ready for fulfillment when the warehouse opens.

For beverage distributors with routes that need to be loaded early in the morning, having orders processed the night before rather than the next morning can meaningfully improve fulfillment speed and reduce the morning rush on the order desk. After-hours automation also captures order volume that would otherwise be lost entirely when customers cannot reach anyone.
