Many wholesale buyers send formal purchase orders as PDF attachments to their emails — particularly larger retail chains, institutional buyers, and businesses with structured procurement workflows. AI can read these documents, extract the order line items, quantities, product codes or descriptions, and pricing, and map them to the correct products in the distributor’s catalog.

The key challenge with PDF purchase orders is that they come in many formats — different layouts, different column arrangements, different ways of describing products. Unlike EDI, which uses a standardized format, PDF purchase orders vary significantly between buyers. AI handles this variation by reading the document semantically rather than looking for data in fixed positions on the page.

When a customer’s product descriptions do not exactly match the distributor’s catalog, the AI uses catalog knowledge and the customer’s order history to match items and flags any that it cannot confidently resolve for human review before the order is entered.

The response is targeted: it asks only for the specific item that is unclear, not for the customer to resubmit the entire order.
